Powerful New Updates: Reporting, Payroll Flexibility & Search Enhancements

Form Export Improvements — Summary Details Now Included

Incident Reports

Following valuable user feedback, we’ve enhanced the PDF Export for Incident Reports to deliver a more complete and transparent record of each incident.

The exported PDF now includes all key information captured within the Incident Details section, ensuring nothing critical is left out when sharing reports externally. This includes:

  • Incident Summary — Type, Status, Incident Date, Category, Severity, and Completed Date

  • Reporting Information — Reported By, Reported At, NDIS Reportable details (Reportable Type and Reportable ID), and Assignee

  • Details — All information entered by Astalty users

  • Follow Up Details — Actions, updates, and review information added by Astalty users

  • Who Was Involved — Individuals selected as being involved in the incident

This improvement ensures that follow-up actions, reviews, and outcomes are clearly documented in the exported PDF. By providing a more comprehensive and accurate record, this update strengthens transparency and makes it easier to confidently share incident documentation with stakeholders, auditors, and leadership teams.

Referral Forms

You'll also find that Referral Forms printed from the Referrals Register will now include the Referral Summary and Details completed during the Referral acceptance process, ensuring all key information is captured in the printed document.

All Other Form Submissions

Additionally, you can export PDF's for all Forms from the All Submissions page. Please note, information captured in the Incident and Referral Registers will not be included in the PDF exports when accessing through All Submissions.

This update allows users to generate a professional PDF version of any submitted form, including all captured responses, and basic summary information. The exported document provides a clean, shareable record suitable for printing, secure storage, or external distribution.

This enhancement improves accessibility of form data, streamlines record-keeping, and makes it easier to retain and share completed submissions when required.

Staff Birthdays Report

Admin users can now access the Staff Birthdays Report, providing visibility of recent and upcoming team birthdays—so you can stay organised and celebrate your team without missing a moment!

Better Visibility of Address Details on Hover

Hovering over an Address within a Participant's profile now displays the information entered in the Details field, allowing users to quickly view additional notes without opening the full record. This enhancement reduces clicks and improves administrative efficiency.

Pay Group Override for Shifts

Astalty now gives providers greater control over how support workers are paid with the introduction of Pay Group Overrides.

Previously, employees were paid according to the default pay group set in their HR & Payroll profile. With this update, you can now assign a different pay group at the shift level, allowing you to apply different rates for specific shifts when needed.

This added flexibility ensures payroll better reflects the nature of the work being performed, while still integrating seamlessly with Xero and Employment Hero exports. When timesheets are exported, the selected shift-level pay group override is automatically applied to the payroll line items.

This enhancement provides more precise rate management, improved payroll accuracy, and greater operational control for providers.

New Search Function for the Astalty Video Library

We’ve enhanced the Astalty Videos Library to make learning and navigation easier than ever.

The videos page now features a new search function, allowing users to quickly find specific videos using the search bar. Content has also been organised into clearer categories, making it simpler to browse different sections and locate relevant resources.

In addition, we’ve introduced a direct link to the Astalty Training Modules. These modules provide structured, step-by-step walkthroughs and guided onboarding to support users who are new to Astalty or looking to deepen their understanding of the platform.

These improvements make it faster to access helpful resources, streamline onboarding, and empower users to confidently navigate and utilise Astalty’s features.

Participant Tags Export

We’ve introduced a new Participant Tags Export to give users greater visibility and control over their tagging structure in Astalty.

This export provides a complete overview of all Participant Tags created in the system, including the Tag name, associated hex code colour, number of Participants associated, and the date the Tag was created.

With this export, organisations can more effectively manage Tag governance, identify unused or duplicate Tags, maintain consistent naming and colour conventions, and improve the accuracy of Participant segmentation and reporting.

This enhancement supports better data hygiene, stronger operational oversight, and more informed decision-making across teams.

Participant Name Display

We’ve introduced a new Participant Name Display setting, giving organisations more flexibility in how Participant names appear across Astalty.

This setting allows you to control how names are displayed in listings, dropdown menus, search results, and selection fields. You can choose to display either:

  • First & Last Name, or

  • Preferred & Last Name (with automatic fallback to first name if no preferred name is recorded)

This enhancement improves day-to-day usability by allowing teams to interact with Participants using their preferred names throughout the platform, while maintaining professionalism and compliance.

Importantly, this update only changes how names are displayed within the system. It does not modify stored Participant data, and legal first and last names will continue to be used on invoices and formal documents (including NDIS templates).

This feature provides greater flexibility for user experience while ensuring compliance requirements remain unchanged.
