Capacity Report

You can find the Capacity Report by navigating to the Reports page in Astalty and clicking Capacity.

Report Overview

The Capacity report will tell you how much funding a Team Member could bill each week based on the number of weeks remaining in each Participant's plan.

The Capacity Report is calculated based on the Service Coordinators Billable Target vs the Remaining Funding amount for each Participants current plan.

If a coordinator does not appear in this report, check that they have a billable target assigned, are set as the Service Coordinator for the relevant Service, or that the Primary Coordinator Fallback option is enabled, as outlined below.

Primary Coordinator Fallback

Sometimes you may not have a Service Coordinator set up, if you'd like Astalty to use the Primary Coordinator when the Service Coordinator is empty, you can toggle this by clicking the settings icon in the top right of the report.

Report Columns

Main Report

Name

The name of the Team Member

Billable Capacity

The number of hours that could be billed each week based on the funds remaining for each Participant divided by the number of weeks remaining in the plan

Billable Target

The billable target for the team member.

Within a Team Member

Participant

The Participant the billable capacity has been calculated for.

Service

The name of the Service

Amount

The amount of funding remaining in the service

Hours

The number of hours remaining in the service based on the "Remaining Units" Charge Item selected when configuring the Service.

Weeks

The number of weeks remaining in the plan.

Average Hours Per Week

The average number of hours per week available across the Participant's Services for the remainder of the plan. Any Participants you have excluded from the calculation (see below) are not factored into this average, so the figure reflects only the Participants who are actively contributing to the Team Member's capacity.

Hours per week

The number of hours left in the Service divided by the number of weeks remaining. Where a Participant has been excluded from the calculation (see below), their hours per week are still displayed against the Service for reference but are not factored into the Team Member's total.

Exclude Participant from Calculation

When expanding a Team Member's capacity, you'll see an eye icon next to each Participant. Clicking the eye icon excludes that Participant from the Team Member's capacity calculation, which is useful when a Participant is unlikely to consume their funding as expected — for example, where there has been a failure to engage or other circumstances that limit effective fund utilisation.

Excluded Participants remain visible in the expanded view so you can keep track of who has been removed, but their funding and hours no longer contribute to the Team Member's Billable Capacity or Average Hours Per Week. This allows the Capacity Report to more accurately reflect your true capacity to onboard additional Participants.

To re-include a Participant in the calculation, click the eye icon again.
