Invoices Export
The Invoices Export downloads invoice summaries or line items as a CSV. You need both the Access Exports Module and Access Finance Module permissions.
Finding the Invoices Export
Open Exports, select Create Export, then select Invoices under Finance. You can also open Create Invoices export.

Configure the Export
Invoice Batch
Choose an Invoice Batch to export every eligible invoice in that batch. Leave it blank to use the invoice date range instead.

Invoice Date Range
When no Invoice Batch is selected, set the invoice From and To dates. Both endpoints are included. The range is matched against each invoice's invoice date.
Regions
Where Regions are enabled and you can view all Regions, select one or more Regions to include invoices for Participants in those Regions. Select Unassigned to include Participants with no Region. Leave the field blank to include every Region.
Export Format
Choose Invoices for one row per invoice or Invoice Line Items for one row per invoice charge.

Line Items Style (optional)
For Invoice Line Items, choose the CSV layout:
- Leave the field blank for the standard generic line item columns.
- Generic - Detailed adds external IDs, item dates, item numbers, claim types, codes and cancellation details.
- Quickbooks formats columns for Quickbooks import.
- Xero formats columns for Xero import, including tracking fields.
Include NDIA Managed Invoices
This is off by default. Turn it on to include NDIA managed invoices alongside plan managed and self managed invoices.
Voided invoices are excluded from every format.
Exported fields
The Invoices format contains:
- Invoice reference, recipient name and recipient email
- Invoice date and due date
- Participant name and NDIS number
- Management type
- GST amount and total amount
- Paid Status
The generic Invoice Line Items format contains invoice and Participant details plus Team Member, item name, item description, quantity, item price, GST, total and GST code. The detailed, Quickbooks and Xero styles change these columns for their intended layouts.
Paid Status
When you choose the Invoices export format, Paid Status can be:
- Paid: The full invoice total has been paid.
- Overpaid: More than the invoice total has been paid.
- Overdue: The invoice still has an amount owing and its due date has passed.
- Partially Paid: Part of the invoice has been paid and the due date has not passed.
- Unpaid: Nothing has been paid and the due date has not passed.
The Invoice Line Items formats do not include Paid Status.
Generating the Export
Select Create Export. When the export is ready it appears on the Exports page, where you can select Download.
