Case Note Import

Overview

This user guide article outlines the process of accessing and completing the case note import option. See the instructions below to complete this process.

Accessing the Import

Head to the page through this link here to access the import, currently this is the only way to access the import.

If you have any questions, please contact support@astalty.com.au before starting your import.

Completing the Import

For this import to be successful, this will need to happen after you've imported your Participants. For more information on this process head to our user guide article here.

To complete the import head to the Case Note Import page and download the Import Template. To complete the template you will need to have the following information about the contact;

  • Participant NDIS Number

  • Content

  • Date

  • Created By

    • This is the email address of the user in Astalty who created the Note.

    • If the user who created the Note is no longer with the business and won't be added to Astalty, you can leave this blank and the Note will be attached to the Account owner instead. We recommend you make a record of who created the Note into the Content column along with the Note itself if this is the case.

    • If the email address is not found in Astalty, the Note will be attached to the Account Owner as the user who created the Note.

  • The date must be in the format dd/mm/yyyy - for example (today's date) 27/02/2025

  • The NDIS Number is used as a unique identifier for each Participant. If a Participant is not found with a matching NDIS Number during the import, the imported data will be ignored.

How to use the Case Note Import

See the instructions below on how to use the Case Note process;

  1. Read the Import Requirements above

  2. Ensure you have imported all of your Participants that you are importing Notes for.

  3. Ensure you have invited all users into your Astalty organisation.

  4. Download the Notes Import Template

  5. Populate the template with your case notes from your previous software.

  6. Remove the example data from the template

  7. Contact support@astalty.com.au to organise a way to share your import file securely via your preferred cloud storage provider or email your data to imports@astalty.com.au.

  8. Once the import is complete, you will receive an email from Astalty letting you know the import is complete.
