Managing Calendar Events on behalf of other Users

We’ve added a new permission in Astalty that makes it easier for Admin users to manage calendar events on behalf of other users.

By default, the optional Admin permission for Can manage calendar events on behalf of other users, is already enabled for the Account Owner. For all other Admin users, it’s turned off initially but can be enabled if needed. This permission isn’t available to Managers or Team Members.

Once an Admin has this permission enabled, they’ll be able to create, update, and delete calendar events for other users. This is especially helpful when assisting with scheduling, managing coverage, or making changes on someone else’s behalf.

When creating or editing a calendar event, an Event Owner field will appear. This allows the Admin to choose which user the event belongs to. If the user doesn’t have this permission, they won’t see the Event Owner field at all and will only be able to manage their own events.

To enable this for an Admin, the Account Owner can do so by selecting the Admin user within Users, navigating to and editing their Permissions to enable Can manage calendar events on behalf of other users.

This update gives Admins more flexibility to help manage calendars across the team, while still keeping clear boundaries around who can do what. If you have any questions or need help setting this up, feel free to reach out.

Cloning a Shift (Internal or Non-Support)

You can now clone a Shift (Internal or Non-Support) by navigating to the Actions button, and selecting Clone Shift. This is a helpful function for duplicating Shifts for the same or other staff members, without having to re-enter Shift details.

Improved Alert Functionality

Alerts can now be edited and archived, ensuring records remain accurate as situations change while preserving historical information. A new Participant Alerts Report has also been introduced, giving visibility of both Active and Archived Alerts across your caseload, with filtering options for easier review.

Schedule of Supports - Unit Amount

User feedback has informed us that some Plan Managers are not accepting Service Agreements where the unit amount is not included in the Schedule of Supports. We have released an update that ensures this information is now captured in the Schedule of Supports placeholder and will include the Item Description, Details (frequency), Unit Amount, and Total.

Participants Without Goals Report

A new Participants Without Goals Report has been added, allowing you to quickly identify Participants who do not yet have Goals on their profiles. From the report, you can navigate directly to a Participant’s Goals page, making it easier and faster to update profiles.

Participant Risk Review Notification

Users can now create Notifications for upcoming Risk reviews, streamlining the reassessment process and supporting timely updates and distribution to relevant stakeholders.

Improved Shifts Exports

You can now refine both the Shifts, and Completed Shifts exports by selecting specific Participants and Users. Both fields support multi-select, making it easier to generate targeted export results.

Participant Contact List PDF Export Enhancement

Users can now export a Participant’s Contact List as a PDF and selectively choose which contacts to include. The export contains the Participant’s name, NDIS number, and the selected contacts’ details and Relationship information, making it easier to securely share relevant contact information with stakeholders.
