Adding Supported Independent Living (SIL) or Assistance with Self-Care Shifts

Overview
This guide explains how to set up and manage Assistance with Self-Care and Supported Independent Living (SIL) in Astalty, including Charge Item Sets, Services, scheduling recurring shifts, and handling manual and split billing.
Creating Supports
Astalty supports the management of services such as Assistance with Self-Care and Supported Independent Living (SIL). To get started, you’ll first need to ensure the correct Charge Item Sets are in place.
Set up Charge Item Sets
Astalty includes preset Charge Item Sets for both Assistance with Self-Care and Supported Independent Living. To access these, navigate to Settings and select Charge Items. From there, click on Add Charge Item Set and choose from the preset options. You can update the Charge Item Set Name, Reference, and hourly charges before clicking on Create.

Update Participant Services
Once your Charge Item Sets are created, you’ll need to update each Participant’s Service. Navigate to the Participant’s profile and select NDIS Plan. Create a new 'Scheduled' service by choosing the relevant support category, entering a Support Name and Budget, and selecting the appropriate Charge Item Set. After saving the Service, you can proceed to scheduling shifts.

Schedule Shifts
For supports that follow a consistent and regular pattern—such as SIL or Assistance with Self-Care—it’s recommended to create recurring shifts. This ensures consistency across sessions and allows you to easily make changes to the entire schedule if needed.

Hourly Charged SIL
If you will be billing on an hourly basis, your best option is to select Automatic Charges as this will capture all automated workflows, such as travel, when approving shifts.
Weekly Charged SIL and Manual Charges
For SIL services that are charged weekly, manual charges should be selected in the Charge Options when setting up the Support, not automatic charges. We recommend setting up all shifts in the support sequence, and then creating Recurring Direct Charges in the Finance menu. These charges will then appear in your invoice batches each week.
A Charge Item will need to be set up for weekly SIL charges, and this will need to be selected in the Participant's Service in order to choose this Charge Item in Direct Charges. You can find more on adding a Charge Item here.

Adding Sleepovers or Overnight Support
These types of supports often require a sleepover or active overnight component. Instructions for adding these can be found in the Adding a Sleepover or Active Overnight Support guide.
Split Billing and Manual Charge Considerations
In some scenarios, support delivery may change mid-shift (for example, a shift that includes both Assistance with Self-Care and Community Access). In these cases, manual charge mode must be enabled when creating the support, and the shift should be split into separate charges to reflect the different support types.

Important Note
When using manual charges, kilometres and time are not automatically linked. This means you’ll need to carefully review claims during approval. If the claimed kilometres or hours exceed what was scheduled, you’ll need to manually adjust the charges in the Finance section of the shift—this may involve deleting and recreating charges so that what is paid and what is claimed remain aligned.
