User Import
Overview
This user guide article outlines the process of accessing and completing the User Import. Use this import to bulk create users in your Astalty account, including support workers, team members, managers and admin. See the instructions below to complete this process.
Accessing the Import
Head to the Import option within the Settings menu to view the User Import option.
Once in this menu, simply select the Users option.
Completing the Import
Once you upload the file and click submit, the import process is irreversible and users cannot be deleted. Double-check your data for accuracy before proceeding.
To complete the import, follow the steps below:
Read the Import Requirements below
Click 'Download Template' to download the User Import Template
Populate the template with your users' information
Remove the example data from the template
Upload the completed template to the file uploader
Click 'Start Import' — once the import is complete, the account owner will receive a notification email with any import errors
User Import Requirements
To complete the import you must download and complete the Import Template.
The following fields are required (marked with * in the template):
First Name — the user's first name
Last Name — the user's last name
Email — must be a unique email address not already in use by another user in Astalty (e.g. your subscription, or another subscription). This is the email address the invitation link will be sent to.
The following fields are optional:
Middle Name — the user's middle name
DOB — date of birth, must be in the format dd/mm/yyyy (e.g. 01/01/1990)
Gender — the user's gender
Mobile — the user's mobile phone number
Phone — the user's landline or secondary phone number
Address 1 — street address
Address 2 — unit, suite, or additional address line
Suburb — suburb or city
State — state or territory (e.g. NSW, VIC, QLD)
Postcode — postal code
External ID — an optional reference ID from an external system such as your HR or payroll software. Astalty does not use this field internally, but it can be included in user-related exports
Billable Hours Target — the target number of billable hours per week for this user (for unscheduled services performed in Tasks such as Support Coordination). Astalty uses this field in KPI reporting
User Type — the role to assign to the user. Accepted values are Support Worker or Standard (use Standard for Admin/Manager/Team Member)
Send Invitation Email — enter Y to automatically send the user an invitation link upon import, or N to skip the invitation. Invitation links can always be sent manually later from the user's profile
