Shift Alerts

Overview
The Shift Alerts page is where you review shifts that have not been clocked in or clocked out. It will update in real time and allow you to stay on the front foot with late clockings. It can be found within the Scheduling sub menu under Review.
Viewing Shift Alerts
Shifts that are missing clock-in or clock-out times will appear in the Shift Alerts page. This acts as your guide for following up with staff to ensure time entries are accurate. You can sort the table by Support Worker, Start Time, or End Time to quickly find the information you need.
Important
If support workers do not clock in or out, their timesheets will not flow through to the approvals page, and they will not be paid for their support.
The Shift Alerts table displays all shifts that require review, with the following detail provided:
Support Worker
Shift Type - Support (1:1), Group, or Shift (Internal or non-support activity)
Start Time - Start time of the shift
End Time - End time of the shift
Status - This displays the type of status, how long it's been since they've not clocked in or out and if it has been cancelled.
Cancelled Supports
Cancelled Supports will appear on the Shift Alerts page by default as they wont have a clock in/out time.
For each Shift Alert, you can view the Shift by selecting 'View Shift' within the '3 dot' menu.
Actioning Alerts
Missed Clock Ins/Outs
Whether it’s a missed Clock In, missed Clock Out, or you need to undo an incorrect clock entry, these actions can be managed on behalf of the support worker.
From the Shift Alerts page, you can use the three-dot menu on a shift to quickly Clock In or Clock Out. Alternatively, select View Support to open the support for more detailed actions, including undoing incorrect clock entries.
Clocking In or Out Behaviour
When clocking in or out on behalf of a support worker, the system will default to the scheduled support start and end times. If the actual clock in or out occurred outside of these times, you can manually adjust the time before confirming.
Missed Clock In
You can complete a missed clock in from either the Shift Alerts page or within the support.
From the Shift Alerts page:
Click the three-dot menu on the shift and select Clock In
In the pop-up, adjust the start time if required
Enter a reason for the clock in
Click Clock In to confirm
From the View Support page:
Open the support by selecting View Support from the 3 dot menu
Click the three-dot menu next to the support worker’s shift
Select Clock In
In the pop-up, adjust the start time if required
Enter a reason for the clock in
Click Clock In to confirm
Missed Clock Out
You can complete a missed clock out from either the Shift Alerts page or within the support.
From the Shift Alerts page:
Click the three-dot menu on the shift and select Clock Out
In the pop-up, adjust the end time if required
Enter a reason for the clock out
Click Clock Out to confirm
From the View Support page:
Open the support by selecting View Support from the 3 dot menu
Click the three-dot menu next to the support worker’s shift
Select Clock Out
In the pop-up, adjust the end time if required
Enter a reason for the clock out
Click Clock Out to confirm
Undo Clock In/Out
The Undo Clock In/Out options allow schedulers to quickly reverse an accidental or incorrect clock-in or clock-out without needing to manually adjust the time entry.
To undo a clock-in or clock-out, open the relevant support shift, select the three-dot menu on the support worker’s clocked shift, and choose Undo Clock In or Undo Clock Out as required.
A confirmation panel will appear where you can accept that you understand and acknowledge that this function will permanently remove the clocked-in data and cannot be reversed.
Clock In/Out Audit Trail
The details of a Clock In or Clock Out can be view via the Audit Trail available in the Support. To view this detail navigate to to the Actions menu and select the Audit Trail while viewing the support.
The Audit Trail will display the user who made the change, date, time and reasons for missed Clock Ins and Clock Outs.
Cancelled Shifts
To view the pay behaviour of the Cancelled Shift, click on the red exclamation mark.
If you need to make changes to the pay behaviour, or need to view the cancellation reason, click on the three dot menu and select View Shift.
The Cancellation Details will outline the reason, details, and charge behaviour. To amend any of this information, click on Update Cancellation Details.
Make any required changes in the pop out, and click Update to save.
Closing out of the Support will return you to the Shift Alerts page. If no further changes are required for the Cancelled Shift, you can click on the three dot menu, and select Send for Approval. The Shift will then move to the Shift Approvals page for action.
Viewing Shift Alerts from the Shift Approvals Page
Users can also access Shift Alerts via the Shift Approvals page. A red notification badge displays the number of Shift Alerts within the selected date range, allowing users to quickly identify and navigate to the relevant alerts by clicking on View Shift Alerts.
