Bulk Deleting Participant Documents
This page walks you through how to bulk delete all documents for a Participant using the Data Management settings. This is an account owner–only feature, designed to make large-scale document clean-ups faster and more manageable.
Overview
Bulk Document deletion lets you permanently remove all Documents for a Participant in a single process — rather than deleting files one by one from their Documents page. This is useful when managing Document clean-up at scale, including for data retention obligations or Participant off-boarding workflows.
Important Note
Please read the following before you begin:
This feature is available to the account owner only. Other users will not see this option in Settings.
Deleted Documents cannot be restored.
Some Documents may not be deleted if they are still attached to important Records in Astalty.
Bulk Document deletion is managed from Settings > Data Management — not from the Participant's Documents page.
How to Bulk Delete Documents
Open Data Management
From the left-hand menu, select Settings.
Select Data Management.
Select a Participant
Choose the Participant whose documents you want to manage and then select Continue
Review and Confirm
Review the warning message and the number of documents that will be affected.
Select Delete All Documents.
Important Note
Once confirmed, this action cannot be undone. If a bulk deletion is already running for this Participant, you will need to wait for it to finish before starting a new one.
Wait for Processing
The deletion runs in the background, so it may take a little time to finish.
You'll receive a notification when the job is complete. Once it is, open the results page to review the outcome.
Understanding the Results
Once processing is complete, the results page will show one of three outcomes:
All Documents deleted successfully — every Document for that Participant has been removed.
Some Documents deleted, some could not be deleted — the deletion ran, but certain Documents were protected and skipped. The results page will list which ones were affected and why.
Deletion failed — the process encountered an error. You can try again from Data Management.
Documents That Cannot Be Deleted
Some Documents are protected and will remain in place if they are attached to any of the following:
a Participant Record
a Signature Request
a Form Submission
If any Documents were skipped, the results page lists each one and the reason it could not be deleted.
Note
Bulk document deletion applies to documents only. It does not provide bulk deletion of case notes.
