Support Notes Export

The Support Notes Export lets you export support notes with optional shift details, so each note can be matched back to the shift it was written during. This is useful when you need more context than the note content alone — particularly when reviewing support delivery across a date range.

Overview

This export always includes the core details of each note — who wrote it, when it was created, which Participant it relates to, and the note content itself. You can also choose to include support details and shift details to give each note more context.

What's included

The Support Notes export always includes the following columns:

  • Created by — the Support Worker who wrote the note

  • Created at — the date and time the note was created

  • Participants — the Participant the note relates to

  • Note content — the text of the support note

You can also choose to include additional columns:

Support details

  • Group support name

  • Support date

  • Support start time

  • Support end time

Shift details

  • Clock in at

  • Clock out at

How to Export Support Notes

Scheduling must be enabled on your account to access this export — only Admin users are able to initiate Exports.

  1. Open Exports.

  2. Go to the Shifts section.

  3. Select Support Notes.

  1. Choose the date range you want to export.

  2. Optionally filter the results by:

    • Participants

    • Created by — the Support Worker(s) who created the note

    • Note content search — searches for the exact text you enter

  3. Turn on Include Support Details if you want support-specific columns included in the export.

  4. Turn on Include Shift Details if you want clock in and clock out times included.

Generating the Export

Click on the Create Export button.

Downloading the Export

When the export is ready it will appear on the Exports page where you can click on Download to save it to your device.

Export taking longer than expected?

If your export contains a large amount of data, it may take longer to generate. When an export is expected to take more than 20 seconds to process, Astalty will automatically send you an email once the file is ready.

Things to know

  • Only notes recorded on supports and group supports are included. Task notes are not included.

  • Dates and times are formatted using your organisation's timezone.

  • The content search looks for the text you enter exactly as written.

  • If clock in or clock out times were not recorded for a shift, those fields will be empty

When to use this export

This export is most useful when you need to:

  • Review support notes alongside the shift they relate to

  • Confirm when a note was written during service delivery

  • Produce clearer reporting for internal review or compliance processes
