Support Tasks Export
The Support Tasks Export gives you a CSV of the Support Tasks recorded on your supports and whether each one was completed.
Use it when you need to report task completion to a stakeholder — a plan review, a board report, an audit — without pulling the numbers together by hand. To review the same information on screen, use the Support Tasks Report instead.
Accessing the Support Tasks Export
- From the left-hand side menu, click Exports.
- Scroll down to the Shifts section.
- Select Support Tasks.
Scheduling and Support Tasks must both be enabled on your account for this export to appear, and you need permission to view all supports.
Configure the Export
Date Range
Choose the From and To dates. The range is matched against the start time of the support the task sits on, and it covers whole days — a support that starts on the To date is included.
The dates default to the current week (Monday to Sunday), and the shortcuts beside the date picker set This week, Last week, Last month or Last quarter for you.
Requirement
Requirement is set to Mandatory by default, so the export only covers mandatory tasks. Clear the filter to include optional tasks as well, or set it to Optional to export only those.
Status (optional)
- Completed — only tasks a worker marked as done.
- Not Completed — tasks that were left undone and tasks that were skipped with a reason.
Leave it blank to include every task regardless of status.
Reason (optional)
Narrows the export by whether a not completed reason was recorded against the task:
- Has Reason — the worker gave a reason (workers must enter at least 10 characters when they skip a task).
- No Reason — no reason was recorded.
Participants, Participant Tags and Support Workers (optional)
These three filters are all optional. Leave them blank and the export covers every Participant and Support Worker in the date range.
- Participants — limit the export to specific Participants.
- Participant Tags — include everyone carrying any of the selected tags. Tags can be combined with individually selected Participants; the export covers everyone matched by either selection, with no duplicates. This field only appears if Participant Tags are enabled on your account.
- Support Workers — limit the export to tasks on supports that the selected workers were rostered to.
If your organisation requires a reason for exports, an Export reason box also appears — fill it in before creating the export.
Generating the Export
Click on the Create Export button.
Downloading the Export
When the export is ready it will appear on the Exports page where you can click on Download to save it to your device.
Exported Fields
One row is produced per task, ordered by the start time of the support it belongs to:
- Task — the name of the task
- Requirement — Mandatory or Optional
- Status — Completed, Skipped or Not Completed
- Support Date — when the support starts
- Support End — when the support ends
- Support Type — Individual or Group
- Participants — the Participant on the support, or every Participant on a group support
- Support Workers — the workers rostered to the support
- Completed At — when the task was marked complete
- Completed By — who marked it complete
- Not Completed Reason — the reason a worker gave for skipping the task
Things to know
- Skipped and Not Completed are separate statuses in the file, but one option in the filter. A task a worker skipped with a reason shows as Skipped; a task nobody actioned shows as Not Completed. Choosing Not Completed in the Status filter returns both.
- Completed At and Completed By are only filled in for tasks with a status of Completed. They are left blank for skipped and not completed tasks.
- Only tasks on supports and group supports are included. The coordinator Tasks recorded against a Participant are a different feature and are not part of this export.
- Dates and times are formatted using your organisation's timezone.
- Support Workers is based on who was rostered to the support, so a support with no worker assigned leaves that column blank.
