Recurring Charges Ending Soon Notifications
Overview
The Recurring Charges Ending Soon notification alerts your team before a recurring direct charge reaches its end date.
A recurring direct charge bills a Participant on a repeating schedule without a shift behind it, such as a subscription, regular equipment fee or ongoing service. Billing stops on its end date. This notification gives you time to review or extend the charge before that happens.
Recurring direct charges are part of Astalty Premium. Only Admins can manage these notifications. This can't be changed per user.
Setting Up the Notification
- Go to Notifications from the left-hand menu.
- Scroll to the Finance section and select Recurring Charges Ending Soon.
- Click Create Notification.
- Under Notification timeframe, set the Period (1 to 365) and choose a Period unit: Days, Weeks or Months. This is how far ahead of the end date the alert is sent. A new notification starts at 1 week.
- Under Notification recipients, add the User Groups or individual Users who should be told. At least one is required. The Support Worker and All Users groups aren't offered.
- Under Notification methods, choose Within Astalty, Email, or both. Both are ticked on a new notification.
- Click Add Notification to save.
Astalty checks once a day, at about 9:30am Brisbane time, and alerts once for each recurring charge whose end date is exactly the set period away. Archived recurring charges, and charges for archived Participants, are skipped. A recurring charge with no end date never triggers it.
Recipients get the title Recurring Charge Ending Soon (the email subject too), a message naming the Participant and how long until the charge ends, and a View Charge link. There is no custom email content for this notification.
The list shows each notification's timing under When, its Delivery methods and its Recipients. Click a row to edit it, or use its actions menu to Edit, Clone or Delete it.
Things to keep in mind
- Nothing stops or extends automatically. The alert is a prompt; the charge still ends on its end date unless you extend it.
- Recurring charges are managed from the Participant's Financial tab and on the Direct Charges page - see Direct Charges.
