Tasks Without Notes Export

The Tasks Without Notes Export downloads Tasks that have no notes recorded. It uses the same workbook layout as the Tasks Export, but applies the missing-note rule automatically.

Exports requires Astalty Professional or Premium. You also need the Access Exports Module permission.

Finding the Tasks Without Notes Export

Open Exports, select Create Export, then select Tasks Without Notes under Tasks. You can also open Create Tasks Without Notes export.

Configure the Export

Date Range

From and To default to the first and last days of the current month. A Task is included when its start time falls within the range. Both selected days are included.

Participant and Team Member

Both filters are optional:

  • Select a Participant limits the workbook to one Participant and includes archived Participants in the selector.
  • Select a Team Member limits it to one team member and includes deactivated users in the selector.

Include Unbillable

This is off by default, so the export contains billable Tasks only. Turn on Include Unbillable to include unbillable Tasks as well.

Include Charges

This is off by default. Turn on Include Charges to add Charge Item Number, Name, Type, Quantity, Unit, and Total Cost.

If your organisation requires an export reason, complete Reason, then select Create Export.

Downloading the Export

The export downloads as an Excel workbook (.xlsx). When it is ready, open the Exports page and select Download.

Exported Fields

The workbook contains Tasks with no notes, ordered with the newest Task first. Without Charges, it has one row per Task:

  • Task ID
  • Date
  • Team Member
  • Participant Name
  • Task Name
  • Total Cost
  • Billable
  • Completed
  • Created
  • Time - total Task time in hours, rounded to two decimal places

With Include Charges on, a Task with several Charges uses several lines. The Task fields appear on the first line, later lines contain only the Charge fields, and a blank line separates Tasks. A Task with no Charges still appears.

To review missing notes on screen, use the Tasks Without Notes Report.
