Incidents Export

You can bulk export your participant and staff incidents using the Incidents Export in Astalty. This lets you download a filtered set of incidents as either a CSV (one row per incident) or a PDF (a document per incident), which is useful for reporting, record-keeping, and NDIS audits where a complete export is needed.

Finding the Incidents Export

To generate an export, head to the Exports page in Astalty and click Create Export. Under the Forms tab, select Incidents, or click here.

Creating the Export

Once you're in the Incidents Export, use the Export Filters to refine what's included. All filters are optional — leave them blank to export every incident.

  • From and To — limit the export to incidents that occurred within a date range.
  • Incident Type — Participant or Staff.
  • Status — Reported, Under Review, or Resolved.
  • Participants — one or more specific participants.
  • Participant Tags — participants that carry the selected tags.
  • Team Members — one or more specific team members.
  • Categories — one or more incident categories.

Under Export Format, choose CSV or PDF, then set your Export Options:

  • Exclude archived — on by default, so archived incidents are left out of the export.
  • Exclude staff surnames — off by default. When selected, staff member surnames are abbreviated (for example, Jane S) throughout the export.

When you're ready, select Create Export.

Downloading the Export

When the export is ready it will appear on the Exports page where you can click Download to save it to your device.

What's included in the CSV export

The CSV export contains the full incident record, matching the information shown on the single-incident PDF export. This makes it suitable for audits where a complete export of every incident is required.

Each incident appears as a single row, with the following columns:

  • Reference
  • Type
  • Date/Time
  • Status
  • Severity
  • Category
  • NDIS Reportable
  • Reportable Type
  • Assignee
  • Reported By
  • Involvees
  • Details
  • Follow Up Details

Any custom form fields configured on your incident report forms (for example, immediate action taken or recommended further actions) are added as extra columns after Follow Up Details, so the bulk export captures the same data points you would otherwise only see by exporting each incident individually.

Choosing the PDF format

If you select PDF as the export format, Astalty generates a formatted PDF for each incident in your filtered selection — the same layout as the single-incident Incident Report PDF. When more than one incident is included, the PDFs are bundled together in a ZIP file for you to download.

Permissions

Access to the Exports page is controlled by your Exports permission. Incidents are also permission-restricted, so an export only contains the incidents you're able to view. See Roles & Permissions for more on how access works.
