MFA Enforcement by Role

Astalty now gives Account Owners greater control over account security with the ability to enforce Two-Factor Authentication (2FA) across all users, or only for users with specific roles.

This update allows Account Owners to choose which user roles must have 2FA enabled. Once enforcement is activated, all users assigned to the selected roles will be required to set up 2FA before accessing their account. This provides more flexible, targeted protection while ensuring critical roles follow stronger security practices.

We’ve added a Print button to Incidents, making it easier to generate hard copies or save incidents as PDFs. This allows quick printing or exporting for reporting, auditing, or record-keeping purposes. This enhancement supports smoother documentation workflows and improves accessibility of incident information.

Unavailability in the Schedule

Great news! We’ve introduced a helpful usability improvement to the Schedule page.

Unavailability entries will now display a hover tooltip containing detailed information, including the exact start and end times of the unavailability. This makes it much easier to quickly understand when a team member is unavailable, without needing to open additional views or dig for details.

This update improves clarity, reduces guesswork, and supports smoother scheduling decisions.

Partial unavailability includes the detail of the unavailability so you know what times the staff are not available.

Sleepover Hours

We’ve made an improvement to how Sleepover hours are represented in the Schedule to prevent confusion and ensure clearer visibility of actual support hours.

Sleepover hours were previously included in the total hours shown on the left-hand side of the menu. Because sleepovers are not active support hours, this skewed the total, giving the impression that a participant was receiving more support hours than they actually were.

This improvement ensures the total hours displayed reflect actual active support time.

Delete Shifts in Group Supports

We've added the ability to delete shifts in recurring Group shifts within the Schedule. Deleting the shift will not apply the change to the remaining recurring supports and shifts can only be deleted if it is not the last remaining shift assigned to a support. You can delete a shift assigned in a Group Support by selecting the 3 dot menu for the shift and select Delete.

We’ve enhanced the Voided Charges Report to make it easier to trace and understand the origin of voided charges.

Previously, there was no direct way to navigate from a voided charge back to its underlying Task or Support Item, which caused confusion. Each row in the Voided Charges Report now includes navigation to the relevant Task or Support via the 3 dot menu.

This improvement provides clearer insights, reduces confusion, and supports smoother workflows when reviewing voided charges.

Charge Item Sets

Travel Items Units

To ensure consistency and prevent configuration issues, we’ve updated how Travel charge items behave during Charge Item Set creation. Travel charge items are now locked to a unit type of “Each,” and the unit field for these travel items is no longer selectable or editable, ensuring they are always created with the correct unit type.

This update reduces errors, streamlines charge item setup, and keeps travel-related items aligned with required billing rules.

Gst Code

We’ve streamlined how GST Codes are managed within Charge Item Sets to reduce duplication, simplify setup, and improve consistency.

So what’s changed?

  • The GST Code field has been removed from individual charge items within a set.

  • A single GST Code selector is now available at the top.

  • The GST Code chosen for the set will automatically apply to all charge items within that set.

This update ensures consistent GST application across items, reduces manual updates, and makes charge item set creation faster and more reliable.

GST Warning and Confirmation

We’ve added an important safeguard to help prevent incorrect GST configurations when creating or editing Charge Item Sets.

When a P1 GST Code is selected within a charge item set, the system will now display a warning and confirmation prompt. This ensures users are aware of the implications of applying a P1 GST Code and can confirm the selection before proceeding.

We introduced this because P1 GST Codes can have specific billing and compliance requirements. The new warning will help reduce errors, maintain data accuracy, and ensure that the correct GST treatment is applied across all items in the set.

Prefill References

Our development team has streamlined the way Reference fields work to improve speed and consistency when creating Charge Item Sets. When you enter a phrase or acronym in the set-level Reference field, that value will now automatically populate the Reference field for every individual charge item within the set.

This enhancement reduces manual data entry, ensures consistent references across all items, and speeds up the overall creation process for charge item sets.

Copy Charge Items

To speed up the setup of Charge Item Sets (especially when charges don’t vary by time of day or day of week) we’ve introduced a Copy to All Day Rates option.

You can now complete the Name, Number, Price, and Unit fields for a single day rate, then use the Copy to All Day Rates option (found in the three-dot menu) to instantly apply those values to all remaining day rates in the set.

This feature eliminates repetitive data entry, ensures consistent values across day rates, and significantly speeds up the creation of charge item sets for non-variable charges.

After selecting Copy to All Day Rates, the other day rates will be pre-populated with the same detail.

Copy Funding Period Amounts

To streamline your workflow, you can now copy a single value to all subsequent Funding Periods when a plan includes varying amounts. This is especially useful for plans with many Funding Periods (such as monthly) where the first Funding Period has a differing amount to the remaining periods. To do this, enter the amount in the relevant period, and then click on the copy icon to apply this amount to the remaining periods.

Support Times on Invoices

We've added an option within the Invoice Settings that will allow you to choose if you want to show Scheduled support times on PDF invoices. Please note this option if selected will display the approved times for all supports and travel.

SCHADS Interpretation Daily View

We've added in a new Daily Breakdown to the SCHADS Interpretation page within the Timesheet Batches. This change provides the user with an interpretation for each support worker's shifts that are within the timesheet batch, where it can now be grouped by a daily view rather than the itemised view.

If you are viewing by Daily Breakdown you can view the different pay line totals applied per days, and you then group each of the pay lines across the pay cycle to display the total accumulated amounts of that pay line in the pay cycle.

Xero Scheduling Integration

Syncing Timesheet Batch Dates

When generating your Timesheet Batch to sync with Xero, our development team have added the dates that must match the next Pay Frequency date range that Xero hasn't processed yet. When creating your Timesheet Batch, Astalty will display a helpful warning advising the date range of your next Xero Payroll Period.

Missing Users

We've introduced a validation warning and navigation to fix the issue for any users who have not been linked with their employee contact in Xero - via the Xero Integration page within your Integrations. If you attempt to sync a batch that contains users who are not linked to employees in Xero, the sync will fail.

Clicking on the Wrench Icon will navigate you to Employee page to link these employees before rerunning the sync.

Payroll Calendar Displayed

We've made an adjustment to the Xero Integration Details page so it now displays the Xero Payroll Calendar the user selected in Astalty. It will display an (!) icon if it is missing. You can view this update via the Xero Integrations page within your Integrations Settings.

Billing

Billing Contact

We've updated where you go to update the Billing Contact for your Astalty Subscription. When a new invoice is generated or a payment is attempted, you will receive automated emails from our payment processor Stripe. This will by the Account Owners email by default, however you can update this on the Invoices page by selecting Edit in the top right corner of the page.

Payment Method

We also updated where the Payment Methods sit for your subscription.

Whether you need to update your payment method due to expired credit cards or you've moved the subscription to a different card, to update your payment method head to the Payment Methods page within Billing. Here you will find your current payment methods.

Quick Action Menu

For any of the users out there that love using our Quick Action Menu, you can now quickly locate and open your User Profile by searching the phrase "my profile". If you have not explored this feature yet, just hold down cmd+k or ctrl+k to try it out in the Quick Action Menu today!
