Rejecting Expressions of Interest
You can now reject an expression of interest on the Shift Board and record a reason the worker will see, rather than leaving it sitting unactioned. This is part of the Astalty Premium plan.
- Select Reject on a worker's row in the Broadcasts section and enter a reason — the worker is notified and can't express interest in that broadcast again
- If no other interest remains, the shift returns to Broadcasting so other workers can still put their hand up
- Where Award Alerts are in use, Reject Expressions of Interest rejects everyone with an award alert in one action, using a single shared reason
- Track outcomes with the Rejected filter and the Rejected at column, which records who rejected the EOI and why
- The Shift Board list also gains a Date filter and sorting by Shift Start Time, and rejected shifts show a Rejected badge in the app
For more information, visit the Rejecting Expressions of Interest guide.
Broadcasting a Shift from the Schedule
You can now broadcast an unassigned shift to Support Workers straight from the support or group support viewer on the Schedule, rather than going via Unassigned Shifts on the Shift Board.
- Open the support, click the three dots on the shift and choose Broadcast Shift, which sits directly below Assign Support Worker
- Choose All Workers or All Compatible Workers, the same options as the Shift Board flow
- Broadcast Shift only appears on a future support or group support shift that has no worker assigned, isn't cancelled and isn't already broadcast — internal shifts can't be broadcast
- Shifts that have been broadcast show a Broadcasted tag in the viewer, which clears once the broadcast is approved or archived
For more information, visit the Shift Board Workflow guide.
Scheduling Costs Updates
Scheduling Costs gains a cancellations drill-down, a new revenue figure for direct charges, and control over whether archived participants are counted.
- Select the Paid Cancellation Cost figure to open Cancellations in this period, listing every cancelled service behind the total with its participant, time, hours, reason, and charge and pay treatment – select View to open the related support
- A new Direct Charge Revenue card covers direct charges that aren't linked to a scheduled support, including projected upcoming recurring direct charges, and counts toward Net Profit and Cost-to-Revenue
- The Archived Participants filter excludes archived participants by default – switch it to Include to bring their supports back into the figures
- The Direct Charges filter is included by default and switches off automatically while a Cost Code or Activity filter is active
For more information, visit the Scheduling Costs guide.
Manage Xero Timesheets from Timesheet Batches
If you use Xero for payroll, you can now review and bulk delete the draft timesheets sitting in Xero directly from the Timesheet Batches page, instead of going through Settings — handy when clearing out drafts before re-exporting a corrected batch.
- Select Actions → Manage Xero Timesheets to open the Bulk delete draft timesheets panel, which lists each draft with its Worker, Pay Period and Hours
- Only draft timesheets are listed, and deleting them permanently removes them from Xero
- Deletion runs in the background, then reports how many were deleted and any that failed
- The option only appears when Xero is your payroll platform and you have permission to edit settings — the same tool is still available under Settings → Integrations → Xero
For more information, visit the Timesheet Batches guide.
Pre-Sleepover and Post-Sleepover Pay Items for Employment Hero
Employment Hero pay item mapping now includes optional Pre-Sleepover and Post-Sleepover rows, so the work either side of a sleepover exports on its own work type and is paid at the right rate.
- Map them from Settings → Integrations → Employment Hero → Configure → Pay Groups, then Edit Pay Item Mapping
- Under SCHADS, work before a sleepover is paid at afternoon rates and work after it at ordinary rates — previously the whole overnight engagement exported on the sleepover work type, so pay categories had to be corrected by hand each pay run
- The rows are fully opt-in: leave both unmapped and sleepover exports behave exactly as before, and providers on Pay Cat are unaffected
- Map both sides together — validating a timesheet batch warns you when only one of the two is mapped
For more information, visit the Employment Hero guide.
Resources in the App
You can now make Resources available to support workers in the Astalty app, so policies, procedures and other documents are on hand while they're out in the field.
- Workers tap Resources on the app's Profile tab to search the list, then open a resource to see its description, tags, content and any attached document
- Tick Visible to support workers when creating or updating a resource to control what appears — support workers only see resources with this ticked
- Support workers now have the View All Resources permission by default
For more information, visit the Resources Overview guide.
Ratios on Direct Charges
You can now apply a ratio to a direct charge to apportion the charge item price automatically, instead of editing the total by hand. It's useful when you only need to bill a portion of a charge, such as a support shared between participants.
- Once a participant, charge item and quantity are set, use Apply ratio in the Charge Summary section of the create or edit form and enter a Numerator and Denominator — the percentage and total update as you type
- A ratio and a manually edited total are mutually exclusive, and the numerator can't be greater than the denominator, so a ratio only ever reduces a charge
- Available for one-off and recurring direct charges wherever Direct Charges is enabled, with no new setting to switch on — a recurring charge applies its ratio to every charge it generates
For more information, visit the Direct Charges guide.
Bulk Price Updates for Charge Item Sets
You can now update every price in a Charge Item Set from a single screen, rather than editing each Charge Item one at a time, and pull the latest amounts straight from the NDIS Price Guide.
- Open Actions → Update Prices from the Charge Items card on a Charge Item Set, edit the prices, then Save Changes
- Fill from NDIS Price Guide populates each price from the current price guide for your organisation's business region, so the business region needs to be set first — support items with no current price keep the price they have and are listed back to you
- Editing an individual Charge Item now also flags a price that doesn't match the price guide, with Use this price to fill in the current amount
- Updates take effect immediately and only affect new charges — there's no future-dated pricing, and each Charge Item Set is updated on its own
For more information, visit the Creating & Updating Charge Item Sets guide.
Aged Receivables Invoice Breakdown
You can now expand any payee or participant row on the Aged Receivables Report to see the individual outstanding invoices behind its total, so you can work out exactly what makes up a debt without leaving the report.
- Each line shows the Invoice reference, Due date, Aging period and Outstanding amount
- Amounts follow the As at date, so any payments received after that date are ignored
- Click an invoice to open it, review it and send a payment reminder
For more information, visit the Aged Receivables Report guide.
Public Holiday Supports Report
The new Public Holiday Supports Report lists every support and group support falling on a public holiday in a date range, so you can review them in one place instead of checking each participant's schedule. Find it under Reports → Scheduling → Public Holiday Supports.
- Each row shows the support type, times, participants, support workers, and the public holiday name and state
- The Policy column reflects the participant's public holiday support policy – Allow, Disallow or Requires Confirmation
- Supports set to Requires Confirmation can be confirmed from the report with an optional note, and the confirmation can be removed again if plans change
- Filter by date period or by specific public holidays, and search to find a participant or worker
For more information, visit the Public Holiday Supports Report guide.
Shifts Export as a PDF, Plus Site and Region Filters
The Shifts Export can now be produced as a PDF as well as a CSV, and can be narrowed by Site and Region – useful when you want a printable roster for one part of the organisation.
- Choose CSV or PDF under Export Format; CSV stays the default
- The PDF is a print-friendly shift schedule showing each shift's date, day, time, duration, participants, site and worker
- The optional Sites and Regions filters appear when Regions are enabled and you have permission to view all Sites or Regions
- Both the Shifts and Completed Shifts exports offer This week, Last week, Last month and Last quarter date-range shortcuts
For more information, visit the Shifts Export and Completed Shifts Export guides.
Per-Support SMS Reminders
You can now turn an SMS reminder off for a single support without changing the participant's opt-in, so one-off sessions that don't need a text can be skipped. Reminders stay on by default for anyone who can receive them.
- On a 1:1 support, untick Send SMS reminder for this support when creating or editing it, or later from Update Details
- The support's Details view shows an SMS Reminder field of On, Off, or No where the participant can't receive one at all
- On a group support, use the Reminder column in the participants list to set it per participant, and the Update SMS Reminder action to change it later — including across a recurring series
- Reminders sent for a support are recorded in the support's Audit Trail; participant YES and NO replies remain in your SMS inbox
For more information, visit the SMS Reminders guide.
Calendar Appointment Reminders
Astalty can now text participants ahead of their calendar appointments, not just their scheduled supports. Calendar reminders share the SMS engine and reminder windows with support reminders, but they're configured, opted in to and sent independently.
- Set them up in the Calendar Appointment Reminders card under Settings → Reminders, with 48 hours before, 24 hours before and 1 hour before windows and your own message text
- Messages use their own
${Event_Name},${Event_StartTime}and${Event_LeadTime}placeholders, formatted in the appointment's own timezone - Participants get a separate Calendar appointment reminders switch in their Reminder settings, and every appointment has a Send SMS reminder for this event toggle that's on by default
- The recipient is the participant on the appointment's linked task – not attendees or the event owner – and sent reminders appear in the SMS inbox and the appointment's Audit Trail → Reminders tab
- Two-Way SMS needs to be enabled on your account first
For more information, visit the SMS Reminders guide.
Disabling SMS
Account Owners can now switch SMS off themselves from Settings → SMS, instead of contacting support. Disabling is confirmed by email, so nothing changes by accident.
- Click Disable SMS, then Continue, to have a confirmation link emailed to you — your number stays active until you open the link, which expires in one hour
- Confirming permanently releases your number and stops all SMS reminders and conversations; it can't be recovered afterwards, even by support
- Any unused time on your number's subscription is credited back pro-rata automatically
For more information, visit the Two-Way SMS guide.
Funding Period Date Notifications
You can now be alerted before, on, or after the day a participant's funding period starts, so coordinators get a nudge to review the budget and resume billing at the right time. Set the rules up under Notifications → Plans & Services → Funding Period Date.
- Choose Before the funding period starts, On the day the funding period starts or After the funding period starts, with a Number of days for the before and after options
- Scope each rule to the Support Categories that matter, and add your own Notification email content
- Notify the Primary Coordinator, Service Coordinator, User Groups or specific Users, Within Astalty, by Email, or both
- Rules are checked once a day and only fire for participants whose plan Services have funding periods set up
For more information, visit the Funding Period Date Notifications guide.
Incomplete Mandatory Task Notifications
You can now be alerted when a shift is clocked out while it still has an incomplete mandatory task. It's a safety net for clock-outs made from the web app or by an automated process, which skip the prompt workers see in the Support Worker app.
- Send the alert Immediately on clock-out, or after a delay set in minutes after, hours after or days after
- Notify User Groups or specific Users, Within Astalty, by Email, or both
- Only Mandatory tasks still incomplete at clock-out count – optional, completed and skipped tasks won't trigger it
- The notification sits under Notifications → Scheduling, so it needs the Scheduling feature enabled
For more information, visit the Incomplete Mandatory Task Notifications guide.
Overdue Reminders for Site Records
Site Record Notifications now include Days after and Weeks after timing options, so you can chase up site compliance documents once they're overdue rather than only beforehand.
- Set them up from the Sites tab on the Notifications page, for all record types or a single one
- Reminders sent after the expiry date switch to Record expired for site wording and explain how long ago the record expired
- Add several notifications with different timings to build a reminder schedule — for example one a week before expiry and another three days after
For more information, visit the Site Record Notifications guide.
