Site Utilisation

Overview

The Utilisation tab on a site shows funding utilisation for every participant assigned to that site on a single screen — so you can see who is overspending or underspending against a support category without opening each participant's profile one at a time.

It's especially useful for SIL houses, where several participants are funded for the same supports and you want a quick, side-by-side view of how each plan is tracking.

Viewing Utilisation for a Site

  • Open the site from the Sites list
  • Click the Utilisation tab

The tab lists each participant assigned to the site, with a row showing their funding for the selected support category.

The Utilisation Table

Each row shows:

  • Participant — the participant's name. Click the arrow on the left of the row to expand it (see below)
  • Service — the service the funding relates to
  • Funded — the total amount funded for the selected support category in the current funding period
  • Claimed — the amount that has been claimed (used) so far
  • Remaining — funded amount less claimed amount
  • % Used — the percentage of the funded amount that has been claimed
  • Status — whether the participant is Overspending or Underspending for where they are in the funding period

Understanding the Status

The status compares how much of the budget has been used against how much of the funding period has elapsed — the same logic behind Utilisation Variance Notifications:

  • Overspending — funds are being used faster than the funding period is elapsing
  • Underspending — funds are being used slower than the funding period is elapsing

Because the status is based on the funding period (not just the raw percentage used), a participant can be overspending at a lower % Used than another participant who is underspending — it depends on how far each plan is through its period.

Filtering by Support Category

Use the Service Category filter at the top of the tab to choose which support category the table reports on — for example 01 - Assistance with Daily Life (Includes SIL). The columns recalculate for the category you select.

Astalty remembers the support category you last selected for each site, so when you return to a site's Utilisation tab it opens on the same category you were last looking at.

You can also use the Search box to quickly find a particular participant in the list.

Expanding a Row

Click the arrow on the left of a participant's row to expand it and see the funding schedule breakdown behind the totals — the underlying funding that makes up the Funded, Claimed and Remaining figures for that participant and category.
