Sites Import

Overview

The Sites Import creates Sites and can fill or update supported details on Sites already in the account. Every row is validated and reviewed before confirmation.

Accessing the Import

Open Settings > Imports, select Create Import, then Sites. The default Admin role has access.

Completing the Import

1. Import or create Users first when Site Manager Email should assign a manager.
2. Download the current template.
3. Populate it and remove the example rows.
4. Accept the caution and choose how name matches should be handled.
5. Upload the CSV and select Start Import.
6. Review the rows, select the intended rows, and choose the count-specific confirmation button, such as Import 3 Sites.

The choices for an existing name are Skip it, Fill in empty fields, Update with the file's values, or Create a new site anyway.

Reviewing Before You Confirm

No Site is created during validation. Ready to Import and Ready to Update rows can be selected. Failed rows cannot. Unticked ready rows become Skipped when you confirm.

The review identifies existing and new tags. New tag names are created only when a selected row is processed. A selected row can still fail during creation, in which case successful rows remain and the import finishes Completed with errors.

Import Requirements

Name and, for a new Site, Type are required. Type accepts SIL House or Other.

• Capacity is allowed only for a SIL House and must be a whole number of at least 1.
• Site Manager Email must match an existing User in the account with the Admin or Manager role.
• If Address Line 1 is present, Suburb, State, and Postcode are required. State must be Australian and Postcode must contain four digits.
• Tags is a comma-separated list. Existing tags are linked and missing tags are created when the row imports.

Template Columns

The template contains Name, Type, Description, Capacity, Site Manager Email, Address Line 1, Address Line 2, Suburb, State, Postcode, and Tags.

Duplicate Sites

A row matches an active or archived Site by Name. Unless Create a new site anyway is selected, a repeated Site name within the file is flagged.

For a matched Site, the import never changes Name or Type. It assigns a Site Manager only when none is set, and it only adds Tags. Other supported values follow the selected skip, fill, or update mode. Blank cells do not clear existing values.

How the Sites Import Works

Astalty validates the file, resolves existing names, managers, addresses, and tags, then waits for confirmation. It processes only selected rows. Creating a new Site anyway deliberately permits another Site with the same name; it does not merge the two.

Troubleshooting

Correct failed rows in the CSV and create another Sites import. Use Download Failed Rows after processing to export the values and failure reasons.
