Imports Overview

The Imports page gives you a single place to see every import that has been run on your account and to start a new one. From here you can review the status of past imports and create new imports without having to go straight into each import type.

Viewing your imports

When you open the Imports page you'll see a list of the imports that have already been run on your account. Each row in the table shows:

  • Created At – the date and time the import was started.
  • Import Type – the type of import that was run (for example, Contact Import).
  • Status – the current state of the import, such as Completed.

To see more information about a particular import, simply click on its row in the table. You can also use the filter (funnel) icon above the table to narrow the list down.

Before you import

Required import order

Self-serve imports should be run in this order:

  1. Users
  2. Plan Managers
  3. Participants
  4. Contacts (and other related data that links back to Participants — such as Organisations, Unscheduled Services, Case Notes, and Documents)

This matches the recommended import order shown when you create an import in Astalty.

Why this order is required

  • Users first. The Participant import includes the email address of any Users that need to be linked as the Primary Coordinator. Those Users must already exist in Astalty so the email can match and assign the Primary Coordinator automatically.
  • Plan Managers before Participants. The Participant import can include a Plan Manager email address. Importing Plan Managers first means that email can automatically link the Participant to the correct Plan Manager.
  • Participants before related data. After Users, Plan Managers, and Participants are imported, later imports — starting with Contacts, then Services, Case Notes, Documents, and so on — link back to Participants using the Participant's NDIS number.

Creating a new import

To start a new import, click the Create Import button in the top right of the page.

You'll then be asked to select an import type. Each type includes a short description of what it imports.

The available import types are:

  • Users – Import Users and add them to your team. See User Import.
  • Plan Managers – Import Plan Managers and their invoicing details. See Plan Managers Import.
  • Participants – Import all of your Participants and their basic details. See Participant Import.
  • Contacts – Import Contacts and their details. See Contacts Import.
  • Organisations – Import Organisations and their details.
  • Unscheduled Services – Import unscheduled services for your participants. See Services Import.
  • Case Notes – Import case notes for your participants. See Case Note Import.
  • Documents – Import documents for your participants. See Documents Import.

Once you've selected an import type, follow the steps in the relevant import guide to download the template, populate it, and upload your data.
