Fixing Import Rows
Overview
When you upload a file for a Plan Managers, Organisations or Contacts import, Astalty checks every row before anything is created and shows you the results on a review screen. If a row didn't pass its checks, you can correct it right there and bring it back into the import — instead of leaving it out, or discarding the whole upload and re-importing a fixed file.
Editing a row
- Go to Settings → Imports and click the import you want to work on.
- Find the row you want to fix in the Import Results table. A row that didn't pass shows a red Failed status, and the Error Messages column explains what's wrong.
- Click the ⋮ actions menu at the end of that row, then click Edit.

- The Edit Row panel opens with the row's current values already filled in, and every problem listed at the top.
- Correct the fields, then click Save Row.

What the panel shows you
- A red This row cannot be imported yet: alert listing every problem with the row. The same messages also appear underneath the field they relate to, so you can see exactly what to change.
- A yellow Worth checking before you import this row: alert, when the row has warnings. Warnings don't stop a row from being imported — they're things worth a second look, such as a Contact that will be added to an existing record rather than creating a new one.
- Cancel and Save Row buttons. If you close the panel with unsaved changes, Astalty asks you to confirm before discarding them.
After you save
- If the row now passes every check, the panel closes and the row's status changes to Ready to Import. You can then tick it and include it in the import as normal.
- If the row still doesn't pass, your changes are still saved and the panel stays open showing the remaining problems. This means you can fix a row a bit at a time rather than losing the work you've already done.
When a row can be edited
A row can only be edited while the import is still waiting for you to confirm it. In practice:
| Can be edited | |
|---|---|
| Import status | Awaiting confirmation or Failed, and not archived |
| Row status | Failed or Ready to Import |
Rows showing Pending, Validated, Created or Skipped can't be edited, and the Edit option doesn't appear on them.
Archiving an import also turns editing off. If you unarchive it, you can edit its rows again as long as the import is still Awaiting confirmation or Failed.
Rescuing an import where everything failed
If no row in your file passed its checks, the whole import is marked Failed and there's nothing to confirm. You can still edit the rows. As soon as the last failing row is corrected, the import moves back to Awaiting confirmation, the tick boxes reappear, and you can import the rows as normal.
One exception: if the import failed part-way through checking your file and some rows were never checked, correcting a row makes that row Ready to Import but the import itself stays Failed. Contact imports@astalty.com.au if this happens.
What you can edit on each import
Every column from the template is editable, so you can correct any part of the row.
Plan Managers
Name, Invoice Email, ABN, Phone, Website.
Name and a valid Invoice Email are required — see Plan Managers Import for the full requirements.
Organisations
Name, Type, Email, Phone, Mobile, Website, ABN, Registration Number, NDIS Registered (Yes / No), Description, Address 1, Address 2, Suburb, State, Postcode and Tags.
- Name is required.
- If you fill in Address 1, then State and Postcode are also required, and State must be a valid Australian state or territory.
- Tags replaces the row's tags with whatever you leave in the field, so re-enter any tag you still want to keep.
Contacts
First Name, Last Name, Email, Phone, Mobile, Participant Reference Type, Participant Reference, Organisation Name, Occupation, Relationship, Starred, Consent, Address 1, Address 2, Suburb, State, Postcode.
- First Name is required.
- Participant Reference Type is either NDIS Number or Astalty ID, and Participant Reference is the matching value for the Participant you want the Contact linked to. See Contacts Import for how Contacts are matched and linked.
- Mobile must be a valid Australian mobile number — a landline is rejected. Enter a landline in Phone instead.
- Because Contacts are matched against each other and against your existing records, editing one Contact row can add or remove warnings on the other rows in the same file.
