Import Results

Once an import has run, open it from the Imports page to see how it went. If some rows didn't make it in, you can download just those rows — along with the reason each one failed — fix them in a spreadsheet, and import them again.

Checking how an import went

Click any import on the Imports page to open it. The Import Details card at the top shows the type, who created it, when it was created, and its status, along with a count of the rows:

  • Total Records — how many rows were in your file.
  • Imported — how many rows were created in Astalty.
  • Failed — how many rows couldn't be created.
  • Skipped — rows you chose not to import when you confirmed the import.

Below that, the Import Results card lists every row from your file. Each row shows its row number, its status, its values, and — for anything that failed — the reason in the Details column. Use the Status tabs above the table to jump straight to the Failed rows, or search for a particular record.

Import statuses

StatusWhat it means
PendingThe import has been created and is waiting to start.
ProcessingAstalty is working through the rows in your file.
Awaiting confirmationYour file has been checked and Astalty is waiting for you to confirm which rows to import.
CompletedEvery row was imported successfully.
Completed with errorsThe import finished, but one or more rows failed. The rows that succeeded were still imported.
FailedThe import itself couldn't be run — for example, the file couldn't be read. Nothing was imported.

Downloading the failed rows

When an import has failed rows, open it and click Actions at the top right of the Import Results card, then choose Download Failed Rows.

You'll get a CSV named after the import type and the date the import was created — for example user-import-failed-rows-2026-09-02.csv.

The file contains:

  • A Row column, so you can match each row back to your original file.
  • Every column from that import's template, with the values you uploaded.
  • A Failure Reason column explaining why the row didn't import. If a row failed more than one check, all of the reasons appear together in the one cell.

Only the failed rows are included — anything that imported successfully, or that you skipped, is left out.

Fixing the rows and importing them again

  1. Open the downloaded CSV in your spreadsheet program.
  2. Work through the Failure Reason column and correct the values it points to.
  3. Delete the Row and Failure Reason columns — they aren't part of the import template.
  4. Go back to Imports, click Create Import, choose the same import type, and upload your corrected file.

Which imports offer this

Download Failed Rows is available on the Users, Plan Managers, Participants, Contacts, Organisations, Sites, and Unscheduled Services imports.

It isn't available for the Case Note Import or the Documents Import — for those, review the failure reasons in the Details column of the results table instead.
