Searching Participants

Overview

The Participants page is the starting point for everything you do with a participant. From here you can switch between views, search, filter, and sort the list, then open a participant to manage their profile.

My vs All Participants

At the top of the page you can switch between two views:

  • My Participants — participants where you are the Primary or Service Coordinator.
  • All Participants — every participant in your account. This view requires the view all participants permission, so team members without it will only see My Participants.

Astalty remembers the last view you used, so the page opens on the same view next time.

Searching

Use the search box to quickly find a participant by name. The list filters as you type, and the search clears automatically when you open a participant's profile.

Filtering

Open the filters to narrow the list. Depending on your permissions and the features enabled for your account, you can filter by:

  • Status — Active or Archived participants.
  • Check-in status — Overdue, Due today, Due tomorrow, or Due within 7 days.
  • Tags — one or more participant tags.
  • Primary Coordinator and Service Coordinator — including unassigned.
  • Team Member and Team — when you can view all participants.
  • Address and Age.

To find archived participants, set the Status filter to Archived. See Archiving & Restoring Participants for more detail.

Columns & sorting

The list shows the NDIS number, first name, last name, and (in the All Participants view) the Primary Coordinator. If enabled for your account, you'll also see the latest check-in and tags. Click a sortable column heading to sort the list — Astalty remembers your sort between visits.

Opening a participant

Click any row to open that participant's profile, where you can manage their records, documents, plans, notes, and more.
