# Deleting Case Notes

> Enable permanent Case Note deletion and understand its access and lock rules.

**Case Note Deletion** is off until the Account Owner enables it in **Settings > Data Management**.

## Overview

Once the setting is on, by default only Admins can permanently delete an eligible Case Note. A User Note can only be deleted by an Admin who also has access to User HR details. Either way, you can only delete a Note you can see that is still editable.

> **Deleted Case Notes Cannot Be Recovered**
>
> Deletion permanently removes the Case Note and its revision history in the same transaction. There is no archive or restore action.

## Turning On Case Note Deletion

1. Open [Settings > Data Management](https://app.astalty.com.au/settings/data-management).
2. On **Case Note Deletion**, select **Enable**.
3. Review the warning and confirm **Enable**.

Disabling the setting hides or rejects further deletion. It does not restore Notes already deleted.

## Deleting a Case Note

1. Open a supported Notes list in Astalty on the web.
2. Open the Note row's three-dot menu and select **Delete Note**.
3. Confirm **Delete** in **Delete Case Note**.

### Where the Delete Note Option Appears

The web app provides the action on eligible Note lists for Participants, supports, Group Supports, internal events, and tasks. Even with the setting enabled, not every screen shows it for every Note.

## What Deleting a Case Note Removes

Astalty permanently removes the Note and all of its revisions. Because this is a hard deletion, retain any information your organisation must preserve before confirming.

### What Is Not Affected

Deleting the Note does not delete its owner, such as the Participant, support, Group Support, internal event, task, or User. Do not assume that deleting a Note cleans up other business records unless the result is shown separately.

## Things to Keep in Mind

- A system-locked Note, such as the automatic timeline Note created for a Participant Alert, cannot be deleted by anyone, including an Admin.
- A Note written by the acting User can also be blocked by the clock-out lock.
- If **Delete Note** is missing, the setting may be off, the Note may be locked, or you may not have delete access.
- Editing keeps revision history. Prefer it when a correction is sufficient.
