> Record travel with odometer readings while clocked in to a shift.

Scheduling add-on - This feature requires the Scheduling add-on, which is available on Astalty Premium. See How to enable Scheduling.

## Overview

Support Workers can record travel directly in the app while clocked in to a shift. This ensures accurate kilometre tracking using odometer readings, with automatic calculations of distance travelled.

## How to Record Travel

### Open the Shift

Tap the shift in question and make sure you are clocked in.

### Start Travel

- Beneath the Clock Out button, tap Record Travel During.
- Select Start Travel.

![The travel action sheet for a shift opened from Today's shifts on the Overview tab, with the Start Travel button highlighted above View Travel and Close.](https://docs.astalty.com.au/assets/record-travel-3.png)

- Enter your start odometer reading.
- If your organisation has set a travel limit, the app displays it, such as **Limit: 20 km**.
- Tap Submit.

![The Start Travel screen asking for the odometer reading when the travel started, with the reading 1234 highlighted and arrows pointing to the Limit: 20 km label and the Submit button.](https://docs.astalty.com.au/assets/record-travel-7.png)

If your organisation requires photographic evidence of your odometer reading, provide it when you start travel. Select **Add photo**, then **Take Photo** or **Photo Library**.

### End Travel

- Tap Record Travel During again.
- Select End Travel.
- Enter your end odometer reading.
- The app calculates the kilometres from the difference between the start and end readings.
- Tap Submit.

![A travel entry in progress opened from Today's shifts on the Overview tab, with the End Travel button highlighted above Update Odometer, View Travel and Close.](https://docs.astalty.com.au/assets/end-travel-2.png)

![The End Travel screen with a Last Odometer of 1234 km and a Limit of 20 km highlighted, an end reading of 1249 entered in the highlighted field, and an arrow pointing to the calculated 15 km in green.](https://docs.astalty.com.au/assets/end-travel-3.png)

The calculated kilometres use the following colour scheme:

- Green: equal to or below the scheduled amount.
- Red: greater than the scheduled amount.
- Grey: zero kilometres.

![The End Travel screen with an end reading of 1234 entered to match the Last Odometer of 1234 km, so the calculated distance shows 0 km in grey.](https://docs.astalty.com.au/assets/end-travel-9.png)

If your organisation requires photographic evidence of your odometer reading, you will be prompted to provide this when you end your travel. Select **Add photo**, then **Take Photo** or **Photo Library**.

## Updating a Travel Entry

If you entered an incorrect reading:

1. Select **View Shift**.
2. Find the **Travel** section.

![The Overview tab with a clocked-in shift selected under Today's shifts and its action sheet open, with View Shift highlighted below the Write Note button.](https://docs.astalty.com.au/assets/update-travel-3.png)

3. Select the travel, then select the pencil icon in the top right. The update action is unavailable after travel has been approved.

![The shift details screen with the Travel During Support row, showing Claimed: 5km, highlighted in the Travel section.](https://docs.astalty.com.au/assets/update-travel-5.png)

![The Travel details screen with the Recorded section highlighted, showing a Start Odometer of 1,234 km, an End Odometer of 1,239 km, Actual Start Time and Actual End Time marked Not recorded, and Kilometres Lodged of 5 km, and an arrow pointing to the pencil icon in the top-right corner.](https://docs.astalty.com.au/assets/update-travel-6.png)

4. Enter the corrected odometer readings, check the amount claimed, and select **Submit**.

For one combined Travel between back-to-back shifts, **Update Odometer** corrects the start and end of the whole journey together. If your organisation uses **Odometer and Photos**, changing the completed end reading also requires a new odometer photo.

![The Update Travel Odometer screen with an Odometer Start of 1234 and an Odometer End of 1249 entered, the Claiming: 15 km amount highlighted in green, and an arrow pointing to Submit.](https://docs.astalty.com.au/assets/update-travel-7.png)

![The Travel details after the update, with the End Odometer at 1,249 km and Kilometres Lodged at 15 km in the highlighted Recorded section.](https://docs.astalty.com.au/assets/update-travel-8.png)

#### No Travel Recorded

When updating travel, if no travel was recorded during the shift, you can turn on **We did not travel during this shift.** to communicate that there was no travel during your shift.

![The Update Travel Odometer screen with the We did not travel during this shift. switch turned on and highlighted, both odometer fields set to 0 and Claiming: 0 km, and an arrow pointing to Submit.](https://docs.astalty.com.au/assets/update-travel.png)

## Travel To and From Support

Payable travel to or from a support appears on your schedule under **Travel**. Record the start and end odometer readings so Astalty can calculate the distance.

### How to Record Travel To and From Support

**Open the Shift**

Tap the shift in question from your schedule.

**Start Travel**

- Select Start Travel.
- Enter your start odometer reading.
- Tap Submit.

![The Overview tab with a Travel entry under Today's shifts highlighted and its action sheet open, with an arrow pointing to the highlighted Start Travel button above View Travel and Close.](https://docs.astalty.com.au/assets/travel-1a.png)

![The Start Travel screen with a Limit of 10 km and a start odometer reading of 5120 entered in the highlighted field, with an arrow pointing to Submit.](https://docs.astalty.com.au/assets/travel-2.png)

Once submitted, the Travel will display a tag "In Progress".

![The Overview tab under Today's shifts, with the In Progress tag highlighted on the Travel entry once the start reading is submitted.](https://docs.astalty.com.au/assets/travel-3.png)

**End Travel**

- Select End Travel.
- Enter your end odometer reading.
- Tap Submit
  - If you are submitting "Travel To", you'll be asked to **Submit and Clock In**

![The End Travel screen with an end reading of 5128 entered in the highlighted field against a Last Odometer of 5120 km, arrows pointing to the calculated 8 km in green and to the Submit and Clock In button.](https://docs.astalty.com.au/assets/travel-4.png)

![The Shift Clock In screen showing a Scheduled Start of 11:45pm and a Current Time of 11:30pm marked On Time, with the Clock In button highlighted.](https://docs.astalty.com.au/assets/travel-5.png)

**Confirmation**

Once submitted correctly, a green tick will appear to confirm the travel record has been completed.

![The Overview tab under Today's shifts, with a green tick highlighted on the completed Travel entry, which now shows Claimed: 8km.](https://docs.astalty.com.au/assets/travel-7.png)

If you were submitting "Travel To" and selected **Submit and Clock In**, confirm **Clock In** on the next screen. Your Shift then displays the "In progress" tag.

![The Overview tab under Today's shifts, with the completed Travel entry above and the In progress tag highlighted on the Participant's shift below it.](https://docs.astalty.com.au/assets/travel-8.png)

## Travel Between Back-to-Back Shifts

Where you finish one shift and go straight to the next, the travel from the first shift and the travel to the second can be one journey. Astalty combines compatible records into a single **Travel** on your schedule, so you enter the start reading when you set off and the end reading when you arrive.

![The Schedule tab for the day with an in-progress shift for Jean Keebler and, below it, a Travel entry for the drop off showing Scheduled: 10km, with an arrow pointing to Travel.](https://docs.astalty.com.au/assets/image5-1757991914.png)

Record it like other travel to and from a support. Select **Start Travel** and enter the start reading, then select **End Travel** and enter the end reading. **View Travels** shows the combined **Total Scheduled Distance** and **Total Scheduled Duration**. **Update Odometer** is available until the travel is approved.

Astalty works out how much of the distance and time belongs to each shift, so you don't need to divide it yourself.

You will see **two separate Travel records** when the trips have different charging or payment rules. This can happen when you change vehicle between the shifts, such as moving from a company vehicle to your own car.

> **Two Travel records means two sets of odometer readings**
>
> Where the trips appear separately, don't try to cover both with one set of readings. Record the start and end readings for the vehicle you actually drove on each trip, so the kilometres are recorded against the right vehicle.

## Forgetting To Record Travel

> **Travel During Shift must be completed before you Clock Out**
>
> If a shift has Travel During Shift, Astalty will not let you clock out until you complete the odometer readings or mark that no travel occurred.

If you attempt to Clock Out without recording or ending Travel, Astalty will highlight this in the Clock Out page.

![The action sheet for a clocked-in shift in the Support Worker app, with the Clock Out button highlighted above Record Travel During, View Shift, View Participant, Write Note and Close.](https://docs.astalty.com.au/assets/clockout-without-travel-1.png)

![The Clock Out screen with the warning Travel during has not been recorded highlighted, and an arrow pointing to the Enter Travel and Clock Out button.](https://docs.astalty.com.au/assets/clock-out-without-travel-5-guide.png)

Select **Enter Travel and Clock Out** (or **End Travel and Clock Out** if you started travel but did not end it) to open the Update Travel Odometer page, where you can either:

- enter your odometer readings, or
- you can mark the travel as not occurring during this shift.

![The Update Travel Odometer screen with a Limit of 20 km and the empty Odometer Start and Odometer End fields highlighted, and an arrow pointing to Submit.](https://docs.astalty.com.au/assets/clock-out-without-travel-3.png)

## Report Unscheduled Travel

If your organisation has **Allow Unscheduled Travel** enabled, you can report travel that wasn't scheduled on a shift. Open the shift and tap **Report Unscheduled Travel**, then record your odometer readings the same way you would for any other travel.

By default, **Report Unscheduled Travel** is only available while you are **clocked in** to the shift.

### Reporting Unscheduled Travel After Clocking Out

If your organisation has also enabled **Allow Reporting Unscheduled Travel after Clocking Out** (see [Scheduling Settings](https://docs.astalty.com.au/guide/scheduling/setup/scheduling-settings#allow-reporting-unscheduled-travel-after-clocking-out)), **Report Unscheduled Travel** stays available on a shift **after you have clocked out**. This means you can still log travel you forgot to record before ending the shift.

### Unscheduled Travel on Group Support Shifts

> **Group Support Unscheduled Travel is in beta**
>
> Group Support Unscheduled Travel is enabled per account while in beta. Contact Astalty Support to turn it on. A Flexible Group Support shift also needs [Flexible Group Support](https://docs.astalty.com.au/guide/scheduling/adding-shifts/adding-a-flexible-group-shift) turned on.

With this switched on, **Report Unscheduled Travel** on a Group Support shift also asks **Who's in the vehicle?** Tick each Participant travelling with you, or select **Select all**.

![The Report Unscheduled Travel Start Travel screen for a SIL Group Support shift, with the odometer reading field above the Who's in the vehicle? list showing three of four Participants selected and the Start Travel button.](https://docs.astalty.com.au/assets/group-unscheduled-travel-start-passengers.png)

On a Flexible Group Support shift, the list only offers the Participants paired with your block of the shift, not every Participant on the group support.

End Travel shows the same list, so you can untick anyone who wasn't actually in the vehicle before you submit.

![The End Travel screen with the calculated kilometres shown in green above the Who's in the vehicle? list showing two of four Participants selected and the Submit button.](https://docs.astalty.com.au/assets/group-unscheduled-travel-end-passengers.png)

If you select the wrong Participants, select **Edit Passengers** on the shift to fix it - at any time before a coordinator approves the travel's distance.

![The Edit Passengers screen with the Who's in the vehicle? list showing three of four Participants selected and the Save button.](https://docs.astalty.com.au/assets/group-unscheduled-travel-edit-passengers.png)

Once the distance is approved, it is split into an equal share for each ticked Participant, charged where kilometres are being charged for the travel - see [Ad-hoc Travel Kilometre Pay and Charge](https://docs.astalty.com.au/guide/scheduling/shift-approvals#ad-hoc-travel-kilometre-pay-and-charge) and [Kilometres With No Travel Charge Item](https://docs.astalty.com.au/guide/scheduling/shift-approvals#kilometres-with-no-travel-charge-item). A coordinator can also correct the passengers at approval - see [Correcting Passengers on Group Unscheduled Travel](https://docs.astalty.com.au/guide/scheduling/shift-approvals#correcting-passengers-on-group-unscheduled-travel).

> **When Report Unscheduled Travel isn't available**
>
> Report Unscheduled Travel does not appear for cancelled shifts, or any shift that already has a **Travel During** record. It is also hidden while an Active Overnight Period can be added. On a completed shift, it appears only when your organisation has enabled **Allow Reporting Unscheduled Travel after Clocking Out**. On a Group Support shift, it appears only once your organisation has Group Support Unscheduled Travel switched on, as described above.
