# Adding a 1:1 Shift

Source: https://docs.astalty.com.au/guide/scheduling/adding-shifts/adding-a-11-shift

> Add a 1:1 direct support, including time, Participant, service, worker, and travel.

Scheduling add-on - This feature requires the Scheduling add-on, which is available on Astalty Premium. See How to enable Scheduling.

## Overview

Create a Direct Support when one Participant receives support from one or more workers. Set the time and place, choose the Participant and their Service, assign the workers, then add any travel, charging and support details.

## How to Add a Direct Support

### Navigate to the Schedule

1. Open [**Schedule**](https://app.astalty.com.au/scheduling/schedule).
2. Click **Add Shift**.

![The Schedule screen in Week view grouped by Support Worker, with Scheduling highlighted in the main menu, Schedule highlighted under Plan, and an arrow pointing to the highlighted Add Shift button beside Settings and Publish.](https://docs.astalty.com.au/assets/add-a-shift.png)

### Select the Event Type

Choose **Direct Support**. For another event type, see [Adding a Group Shift](https://docs.astalty.com.au/guide/scheduling/adding-shifts/adding-a-group-shift), [Adding an Internal or Non-Support Shift](https://docs.astalty.com.au/guide/scheduling/adding-shifts/adding-a-shift-internal-or-nonsupport), or [Meal Breaks](https://docs.astalty.com.au/guide/scheduling/meal-break).

![The Who & When section of the create form with the event type options highlighted: Direct Support (selected), Group Support, Flexible, Shift and Unpaid Break, each with a short description.](https://docs.astalty.com.au/assets/direct-support-1-.png)

### Set the Time and Date of the Scheduled Support

- Use the date and time picker to select the start and end.
- Select the **Timezone** when multi-timezone scheduling is enabled. Otherwise, Astalty uses your organisation's scheduling timezone.
- Turn on **Repeat this Support** if needed. Set **Every**, choose **Day**, **Week**, or **Month**, then choose the end date. Weekly repeats let you select weekdays, while monthly repeats let you select the day of the month. A fortnightly support is every 2 weeks.

![The Start Time and End Time fields for 20/11/2026 from 09:00 to 17:00 with the Brisbane time Timezone, and the Repeat this Support panel highlighted and switched on: Every 1 Week, an empty Until field, and Repeat on with Fri selected.](https://docs.astalty.com.au/assets/support-time-1.png)

> **Notes**
>
> - Astalty allows rostering up to two years in advance.
> - Shifts can be added retroactively, allowing any last-minute or previously missed shifts to be recorded accurately.

### Select the Site

Select the Site from the drop-down menu. This restricts the Participant list to only those
Participants assigned to that Site. If the Site has a [Default Support
Type](https://docs.astalty.com.au/guide/creating-and-managing-sites#form-fields) set, choosing it also fills in the Support
Type below - leave the Site without one to choose a Support Type yourself each time.

![The Who & When section of the create form for a Direct Support, with an arrow pointing to Jacaranda Place selected as the Site and Community Access filled in automatically as the Support Type, both highlighted above an empty Participant field.](https://docs.astalty.com.au/assets/sites-default-support-type-fills-new-support.png)

### Select the Support Type

Options include **Personal Care, Community Access, In-Home Support**, **Training** and more. The
dropdown is searchable, and each option shows a short description of when to use it. See
[Support Types](https://docs.astalty.com.au/guide/scheduling/support-types) for the full list.

![The Support Type dropdown open and highlighted, with an arrow pointing at the Support Type field. The list has a Search box and support types each with a short description, starting with Behaviour Support Implementation, Capacity Building, Community Access, Education Support and Employment Support.](https://docs.astalty.com.au/assets/support-type.png)

> **Need to schedule training related to Participant needs?**
>
> Use the Support Type: **Training** where the training is related to Participant support needs.

> **Introducing a new worker to a Participant?**
>
> Use the Support Type: **Shadow Shift** where a new worker is being introduced to a Participant
> with complex individual support needs, before they commence providing the support independently.
> See [Shadow Shift](https://docs.astalty.com.au/guide/scheduling/support-types#shadow-shift).

### Assign Participant

After selecting the support type, you can add the Participant information.

- Select the relevant Participant from the list.
- On the right-hand side, the View Details section will appear.

![The Support Type set to Community Access and the Participant set to Floyd Bode, with the View Details button highlighted beside the Participant field.](https://docs.astalty.com.au/assets/participant-details.png)

This section shows additional Participant information, including:

- Tags linked to the Participant
- Participant Details (core profile information)
- Information Items (customised details relevant to supports)

By toggling between Participant Details and Information Items, you can gather further context that may be important when rostering the support.

![The Participant Details panel with the Participant Details tab highlighted and an arrow pointing to the Non Verbal tag beside Complex and Mental Health, above the Participant's age, phone, mobile, date of birth, gender and diagnoses.](https://docs.astalty.com.au/assets/participant-details-3.png)

![The Participant Details panel with the Information Items tab highlighted, showing a Background Information item and its description.](https://docs.astalty.com.au/assets/participant-information-items-1.png)

If the support is delivered at a Site, select it before choosing the Participant. The Participant must be linked to that Site. Selecting a Site can also prefill the address and the Site's default Support Type.

Where your organisation uses Cost Codes, you can also select a **Support Cost Code**. Cost Code rules may apply one automatically after the support is saved.

### Select a Charge Item Set

- If a planned service has already been created for a Participant, it will appear by default.
- If no planned service exists for scheduled services, you will be prompted to create one.
- See [Services](https://docs.astalty.com.au/guide/participants/ndis-plan/services) for how to set up scheduled services.

Once the Participant and Charge Item Set are chosen, **Funding Utilisation** shows the Participant's funding for the Service, and what this support adds to it once its details are complete. See [Checking Funding While You Book](https://docs.astalty.com.au/guide/scheduling/support-funding-utilisation#checking-funding-while-you-book).

### Participant Address

You can assign the Participant's address for the support, or choose an alternate address if there is a different pickup location.

### Assign a Support Worker

- Select one or more workers delivering the support. Each selected worker gets their own shift on the same Direct Support.
- To leave the support unfilled, tick **Create Unassigned Shifts** and enter how many shifts Astalty should create.
- Indicate if there is a paid meal break. If selected, this will appear in the shift details for the Support Worker.
- If your account uses [custom allowances](https://docs.astalty.com.au/guide/scheduling/setup/custom-allowances), choose any that apply to each worker in their **Custom Allowances (optional)** field.

> **Rostering someone who's on leave or unavailable?**
>
> If a selected worker has approved leave, recorded unavailability, or a pending leave or availability request during the shift, Astalty asks you to confirm before creating it. See [Confirming an Unavailable Worker When You Create a Shift](https://docs.astalty.com.au/guide/scheduling/managing-availability#confirming-an-unavailable-worker-when-you-create-a-shift).

### Add Support and Admin Details

- Support Details - Visible to Support Workers.
- Admin Details - Visible only from the desktop application.

![The Support Details section with the Support Details and Admin Details editors side by side, each with a formatting toolbar and example bulleted instructions.](https://docs.astalty.com.au/assets/image11.png)

> **Skip the SMS reminder for this support**
>
> If your organisation uses [SMS Reminders](https://docs.astalty.com.au/guide/settings/sms-reminders), a green bell icon appears for Participants who can receive them. Click it to skip the reminder for this one support - the bell turns navy with a line through it, and the Participant's opt-in is untouched. See [Turning reminders on or off for a single support](https://docs.astalty.com.au/guide/settings/sms-reminders#turning-reminders-on-or-off-for-a-single-support).

### Configure Travel (Optional)

![The Travel section with cards for To Support, During Support and From Support, each with a Driver, Distance (km), Duration (min), Charge Behaviour, Pay Behaviour, Details and a Remove link, and an Add Travel button below.](https://docs.astalty.com.au/assets/travel-charges.png)

Add planned travel to, during, or from the support when it applies. Leave a travel type empty when it is not needed.

The amounts you enter represent the estimated distances and the budgeted kilometres expected to be travelled.

When configuring travel, record the driver, distance and estimated duration. The budgeted distance is visible to Support Workers in the app.

![The Support Worker app's schedule, with the Scheduled: 20km tag highlighted on the Travel card before Elena Marchetti's shift.](https://docs.astalty.com.au/assets/image6.jpg)

> **Charging transport against a different line item**
>
> If a shift includes transport that should be billed to the Participant's transport funding line - for example activity based transport on a SIL support - you can use the **Travel During KM Charge Item Override**. It applies only to travel recorded as Travel Type - During Support; travel to and from the support always bills kilometres against the Charge Item Set. See [Travel (to, during and from)](https://docs.astalty.com.au/guide/scheduling/travel-to-during-and-from#travel-during-km-charge-item-override) for details.

### Set Charges

- If billing from a Charge Item Set, configure automatic charges. For example, you would like to bill from the Community Access 04, Charge Item Set.
- For respite, bill from a **Short Term Accommodation** Charge Item Set - see [How to Claim for Respite?](https://docs.astalty.com.au/guide/scheduling/scheduling-faq/how-to-claim-for-respite).
- For other billing types (e.g., SIL), you may wish to set up manual charges.
- If Centre Capital Costs apply, select the option in this list. See [Adding Centre Capital Costs](https://docs.astalty.com.au/guide/scheduling/scheduling-faq/adding-centre-capital-costs).

![The Service & Billing section with Charge behaviour set to Automatic Charges and Manual Charges as the alternative, each with a description, above the Charge Item Set field set to CA.](https://docs.astalty.com.au/assets/charge-options.png)

### Additional Charges

Add any Additional Charges (e.g., non-face-to-face work) using the drop-down. Enter details such as quantity, claim type, description, and any extra notes, then click Add Charge.

![The Additional Charges & Centre Capital section with no additional charges added yet, the Add an Additional Charge button highlighted, and an unticked This support includes Centre Capital Costs checkbox below.](https://docs.astalty.com.au/assets/image10.png)

![The Additional Charges & Centre Capital section with a charge being added: Charge Item CA\_WK\_DAY, Quantity 1 hours, Claim Type Non-Face-to-Face Services, a Description of Non-face-to-face support and Additional Details filled in, with Cancel and Add Charge buttons.](https://docs.astalty.com.au/assets/image4-1757919783.png)

### Manual Charges

There may be occasions where more than one type of support is delivered within a single shift-for example, 2 hours of Community Access and 1 hour of Assistance with Self Care. Instead of using Charge Item Sets (which would require creating separate shifts), you can use **Manual Charges** to record multiple supports within the same shift.

To do this, create the support as usual and complete all required details, then select **Manual Charges** under **Charge behaviour** in the **Service & Billing** section. The **Charge Item Set** field is hidden while **Manual Charges** is selected.

![The Service & Billing section with Manual Charges selected and highlighted under Charge behaviour, showing that charges will not be created or updated automatically.](https://docs.astalty.com.au/assets/manual-charges-2.png)

Select **Add an Additional Charge** and choose the Charge Item. Enter the hours that should use that item, then add more Charge Items until the shift's delivered support is accounted for.

![The Additional Charges & Centre Capital section listing two Charge Items, Community Access and Supported Independent Living weekday daytime, each with Qty: 2 and Direct, with the Add an Additional Charge button highlighted.](https://docs.astalty.com.au/assets/manual-charge-8.png)

![The Additional Charges & Centre Capital section with two Charge Items already listed and the empty new charge form highlighted, showing Charge Item, Quantity, Claim Type, Description, Additional Details, Cancel and an Add Charge button.](https://docs.astalty.com.au/assets/manual-charges-7.png)

> **Add travel charges separately**
>
> **Manual Charges are not linked to automatic parts of a shift**, such as Travel. To claim travel, add a **Travel Charge Item** in **Additional Charges**. You can still complete the Travel section as normal.

### Create the Shift

- Once all details are complete, click Create to save the shift.

### Unpublished Shifts

New shifts are unpublished by default. See [Published and Unpublished Shifts](https://docs.astalty.com.au/guide/scheduling/published-and-unpublished-shifts).

## Duplicating a Direct Support

Clone a Support to copy an existing 1:1 support, including its uploaded Documents. Use it when the new session should keep details such as the Participant, assigned Support Worker, transport, ratios, and location.

- Open the Support you want to duplicate
- Click **Actions**
- Select **Clone Support**
- Update any details that need to be changed (such as date, time, location, etc.)
- Once all updates are complete, click **Create** at the bottom of the pop-out

![A support's details with its Actions menu open, the Actions button marked 1 and Clone Support marked 2, below Message via SMS and above Delete Support, Cancel Support, Publish Shifts, Audit Trail, Email Notes and Email History.](https://docs.astalty.com.au/assets/clone-support-1.png)

## Extending a Direct Support

If you need to extend a Support beyond its current end date, you can do so from the Support's **Actions** menu. Select **Extend Support**, choose the new end date, and click **Extend** to apply the change.

Astalty will automatically carry over the Supports from the previous session in the Support series, saving schedulers from having to enter this information manually.
