# Birthday Notifications

> Set up automatic alerts so your team is reminded when a Participant's birthday is coming up.

Birthday Notifications alert your team when a Participant's birthday is coming up. To manage them, open [Notifications](https://app.astalty.com.au/notifications) from the main menu and select **Birthdays** under the **Participants** group, or go straight to [Birthday Notifications](https://app.astalty.com.au/notifications/birthdays).

Only Admins can manage these notifications. This can't be changed per user.

## Creating a Birthday Notification

1. Click **Create Notification**.
2. Set the **Period** and choose a unit: **on the day**, **days before** or **weeks before** the birthday. The default is 7 days before. The **Period** number is ignored for **on the day**.

### Notification Email Content

Optional content added to the body of the email when **Email** is a delivery method. For example, you could add the details of what your organisation normally does for Participant birthdays.

### Notification Recipients

Select at least one recipient.

#### Primary Coordinator

Notifies the Participant's Primary Coordinator. Ticked by default.

#### User Groups

Notifies everyone in the selected [User Groups](https://docs.astalty.com.au/guide/settings/users-settings/user-groups). This notification also offers the **All Users** group, which includes Support Workers, so Astalty shows a warning when you select it.

#### Users

Notifies individual users directly.

### Notification Methods

#### Within Astalty

Recipients get an in-app notification. Ticked by default.

#### Email

Recipients get an email. Ticked by default.

## Finalising Your Notification

Click **Add Notification** to save it.

## Multiple Notifications

You can add several Birthday Notifications with different timings and recipients. For example, you may want one notification 1 week before a Participant's birthday and another 1 day before.

Use the actions menu on a notification to **Edit**, **Clone** or **Delete** it.

## When Notifications Are Sent

- Astalty checks once a day at 9:30am Brisbane time (AEST) and sends a notification for each Participant whose birthday falls on the day your timing points to.
- Participants with no date of birth recorded are skipped, and so are archived Participants.
- Deactivated users are skipped, and a user who qualifies more than once (for example as the Primary Coordinator and through a group) gets one notification.
- The notification is titled **Birthday Notification** and names the Participant and the age they are turning. The email subject is **Birthday Notification for** followed by the Participant's name.

## Leap Years

In a year without 29 February, Participants born on 29 February are treated as having their birthday on 28 February, so the notification goes out on 28 February or the set number of days before it.
